Confidentiality of Participant Information

Confidential information includes, but is not limited to, participant identity, contact information, enrollment records, completion data, assessment results, certificates, communications, and materials submitted by participants.

Participant information is collected and used solely for purposes of course administration, verification of course completion, accreditation compliance, and reporting as required by the National Board of Certified Counselors (NBCC). Confidential information is not disclosed to third parties without participant consent, except as required by law or court order, or for NBCC review, audit, or accreditation purposes.

The Provider maintains appropriate administrative, technical, and physical safeguards to protect participant information from unauthorized access, use, or disclosure. Access to confidential information is limited to authorized personnel with a legitimate program-related need.

Participant records are retained for the duration required by NBCC and applicable regulations. Records are securely disposed of when no longer required for record requirements.

Program Participant Complaint Policy

Complaints must be submitted in writing and include sufficient detail to allow for review, including participant identification, course title, and a description of the issue.

The Provider acknowledges receipt of complaints within a reasonable timeframe and conducts an objective review of all relevant information. Additional documentation may be requested as necessary. The Provider provides a written response outlining the outcome of the review and any corrective action, if applicable. Complaints are resolved within a reasonable timeframe, generally not to exceed 30 business days.

All complaints and resolutions are documented and retained in accordance with record retention requirements and may be used for program evaluation and quality improvement.

Participants who believe their complaint has not been adequately resolved may be informed of their right to contact NBCC in accordance with NBCC policies.

Program Fees, Refunds, and Participant Cancellation Policy

All program fees are clearly disclosed to participants prior to enrollment and include any costs associated with course materials, assessments, and certificates. Fees are charged only for approved programs and services. Program registrations and fees are non-refundable and non-transferable unless otherwise stated in writing by the Provider.

If you make a purchase on our site, we use a third-party payment processor such as Stripe or PayPal. Payments are encrypted through the Payment Card Industry Data Security Standard (PCI-DSS). All direct payment gateways adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover.

PCI-DSS requirements help ensure the secure handling of credit card information by our site and related courses and its service providers.

Third-Party Services

In general, the third-party providers used by us will only collect, use and disclose your information to the extent necessary to allow them to perform the services they provide to us.

However, certain third-party service providers, such as payment gateways and other payment transaction processors, have their own privacy policies in respect to the information we are required to provide to them for your purchase-related transactions.

For these providers, we recommend that you read their privacy policies so you can understand the manner in which your personal information will be handled by these providers.

Certain providers may be located in or have facilities that are located in a different jurisdiction than either you or us. If you elect to proceed with a transaction that involves the services of a third-party service provider, then your information may become subject to the laws of the jurisdiction(s) in which that service provider or its facilities are located.

As an example, if you are located in Canada and your transaction is processed by a payment gateway located in the United States, then your personal information used in completing that transaction may be subject to disclosure under United States legislation, including the Patriot Act.
